Our privacy policy and how we use your data

1. Overview

The Visa Orchestrator acts as the ‘Data Controller’ for your personal information. To process your applications efficiently, we collect two types of data:

  • Standard Data: Your basic contact details (name, address, email, phone number).
  • Application Data: Sensitive information required by embassies, such as passport details, employment history, and occasionally criminal record checks.

2. Google OAuth & Authentication Data

When you sign in using Google OAuth, we access basic authentication details (your name, email address, and profile picture).

  • Usage: Google OAuth data is used solely to create and authenticate your account on The Visa Orchestrator.
  • Protection: We do not sell, rent, or share your Google user data with third-party advertisers or data brokers.

3. Data Retention

Under UK tax law, we securely retain your Standard Data for accounting purposes. By default, your Application Data is destroyed from our active servers once your visa process is complete. If you prefer we securely store your Application Data to expedite future visa applications, you must provide explicit written consent.

Note: UK Visa records are strictly retained for 6 years to comply with regulatory licensing requirements.

4. How We Process and Share Your Data

We only collect data that is strictly necessary for your application. To fulfill our service, your data is shared with the relevant government embassies, high commissions, and their authorized outsourced visa centres. Consequently, your data will often be transferred outside of the UK/EEA to the destination country.

We utilize secure infrastructure (such as Supabase) to host our digital services. Occasionally, we partner with specialized sub-contractors or in-country agencies (e.g., for official letters of invitation) who will process your data under our strict confidentiality guidelines.

5. Your Rights

You have the right to request access to, correction of, or deletion of your personal data at any time. If you have concerns about how your data is handled, please contact our support team at info@visaorch.com.

If you remain dissatisfied, you have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) at https://ico.org.uk/.
